How to create a new order using our smart order form

Creating orders has never been easier so let us show you how to get the most out of our smart order form. It's smart because it remembers everything about your last order with each buyer and pre-populates most of the form to save you time. It also automatically saves edits as you go.

  • An order can be sent as an offer at any stage by selecting the New Offer tab.

  • Start typing the name of your contact and a dropdown will appear with any matching results - just select the contact person and once you also add a product to the order, the order will be automatically saved and updated with the right default. You can always edit these at any time.

  • Whilst optional, you can include a subject and personal message also.

  • To add products to the order simply start typing the product sku or name into the search field and select from a list of matching results.

  • If you have nominated a standard price, this will be the default price for that item.

  • Total available kgs and cartons at all locations is shown in the far right column.

  • You can use filters to refine your search by stock availability, chilled status or load out location. Just select which products you want to add to the order and specify the qty and price (you can also do this after you've added the products). A green tick appears next to products you have already added to an order if you are conducting multiple searches.

  • Clicking on the product sku will display detailed product specifications and the price history of the product. This can be very helpful when deciding a spot price with a specific market or customer.

  • Now you've finalised the products on your order, you need to define the logistics. Items with a red asterisk are mandatory in order to submit the order.

  • In this section you are able to add a range of different notes like production, documentation, invoice, pick list and delivery.

  • If you are shipping an order by sea freight there are a number of additional fields you will need to complete such as container and journey details. An order can contain multiple containers and multiple journeys so be sure to include all the relevant details of the shipment.

  • If you are using our file sharing service, a lot of this information will be automatically populated once the order has been dispatched.

  • In most cases you'll want to include your own order reference, for integrated sellers, this is automatically added once an order is accepted by your internal system. Your customers can also include their own PO reference.

  • The default Payment terms and Terms of sale can be saved in your customer setup but you can always override these terms on an order by order basis.

  • At any time, you may chose to add additional comments, email subscribers or files to the order to ensure all parties stay up to date.
